Invoicedrop Errors

 

This article documents typical error scenarios when using the Invoicedrop service. This diagram describes the document flow:

 

There are two type of errors, 1. Technical rejection of the email and 2. Rejection of invoice document in the OCR service.

 

Normal Situation - Mail is received by invoicedrop

Normally when you send PDF or TIFF invoices to invoicedrop, you will get an email notifying you that the file(s) were received by the Ibistic Invoice Gateway, with a list of file names. You then know the email itself was technical accepted. The message should look similar to this:

The receipt indicates the email was received, and the files were sent to OCR scanning center, where normal processing times applies (up to 26 hours following working day).

 

Mail was technically rejected

If instead of normal receipt shown above, it is bounced by a "Critical Error" mail, the email was technically rejected and not retrieved by the invoicedrop service. Typical errors include:

 

No attachment

CRITICAL ERROR!

This message could not be processed for the following reason:
Your mail contained no attachments.

(this means the mail does not include an attachment. Solution is to resend with valid PDF or TIFF file attachment)

 

Multiple recipients (the mail is sent to more than one address)

CRITICAL ERROR!

This message could not be processed for the following reason:
Your mail was sent to multiple recipients. Please only use one address in the TO header.

(this means there were additional email addresses in the TO header. Only the invoicedrop mail address should be in this field. If you want to send copy of the mail to someone, you may freely use the CC field for this.)

 

No deliverable attachment

CRITICAL ERROR!

This message could not be processed for the following reason:
Your mail contained no deliverable attachment.

No documents from this messages will be processed.

(This means that the combination file type and invoicedrop address was wrong. Probably the invoicedrop address doesn't exist (please check if the address is spelled correctly!). If not, it might not have been set up to receive the attachment type. You may for example get this error message if you sent .jpg or .png attachment, which is not supported)

 

Rejection of invoice document in the OCR service

If the invoice is rejected by the scanning operators, there will be a "Critical Error" mail sent out, including a tracking ID of the rejected invoice document. If unsure what the error message means, please provide the tracking ID to Ibistic Support. Here are the errors which may occur if rejected by scanning center:

Unsupported document type

CRITICAL ERROR!

The following attachment was rejected by the OCR/interpretation service and will not be delivered: A10012601597-1211.pdf
Error details: The file contains an unsupported document type. (Processed 17-01-2016 06:12:03)

Please contact Ibistic Support if you have any questions.

[Ibistic tracking id: e16672f6-0c17-4131-bbe0-e9ad296bcbd6]

(This means an unsupported type of document was sent for OCR, not an invoice, reminder or credit note)

 

Multiple documents in one (possibly disabled)

CRITICAL ERROR!

The following attachment was rejected by the OCR/interpretation service and will not be delivered: A10012601597-1211.pdf
Error details: The file contains multiple documents. (Processed 17-01-2012 06:12:03)

Please contact Ibistic Support if you have any questions.

(This means more than one invoice was sent in the same file. Note: You may send multiple files in the same mail, but not multiple documents in the same file.

 

Image quality not good enough

CRITICAL ERROR!

The following attachment was rejected by the OCR/interpretation service and will not be delivered: A10012601597-1211.pdf
Error details: The image quality of the file is not good enough for interpretation. (Processed 17-01-2012 06:12:03)

(This means the image quality of the document is not good enough for machine OCR capture)

 

Not all pages of the documents are included in the file

CRITICAL ERROR!

The following attachment was rejected by the OCR/interpretation service and will not be delivered: A10012601597-1211.pdf
Error details: Not all pages of the document are included in the file. (Processed 17-01-2012 06:12:03)

Please contact Ibistic Support if you have any questions.

(This means there are missing pages in the document. All pages of the invoice should be included)
